Digital key management is a solution for the secure, efficient, and traceable organization of physical keys in daily operations, using the GS-Service software suite from GreenGate AG. It addresses the typical weaknesses of manual key management and replaces them with a structured, digital system. In many companies, key management is challenging from both an organizational and security perspective. Common problems include lost keys, a lack of transparency regarding availability, error-prone manual lists, and unclear responsibilities for issuing and returning keys. Unauthorized transfers or necessary lock changes can incur significant costs and risks. The digital solution enables location-independent and audit-proof management. Each key is assigned a unique barcode, created as an object in the system, and assigned to a keypad. This makes it possible to see at any time whether a key is available, has been issued, or returned. All key movements—issuance, return, or removal by external service providers—are documented with a timestamp and the name of the person involved. Additional free-text entries provide further transparency. Issue and return are performed remotely via barcode scan using a smartphone or tablet, directly within the workflow. The system also indicates which key is needed for which task. This approach reduces travel and waiting times, increases maintenance efficiency, and improves security.
